What’s a Fan Table?


Fan Tables are generally located in the halls and are available to fan groups, clubs, and organizations within the local geek community to showcase their group or event during the convention. They’re a great opportunity to promote, recruit new members, raise awareness, and do community outreach!

Actual reservations will be determined based on demand. Fan Tables are assigned on a first-come, first served basis.

  • The Hellmouth will provide 2 badges for each Fan Table under the Organization/Charity/Club Name.  If you have multiple people staffing your table, you will need to purchase additional memberships for them or trade at the outside door.

  • Fan Table groups must provide their own staffers to cover their table. The Hellmouth staff are not permitted to assist in managing your tables. If you need to step away from your table, it is your responsibility to have another designated person to watch your belongings.

  • The Hellmouth is not responsible for displays, merchandise, or other items left at tables during closed hours. Any items left are at own risk.

  • In deference to our dealers and exhibitors, who purchase a table or sponsor the convention, no sales with the exception of event badges/tickets are permitted at fan tables. 
  • Charity collections are not allowed at Fan Tables as it may interfere with the integrity of the The Hellmouth approved and sponsored charity.
  • No raffles are allowed. Sorry, but it is illegal according to the laws of the State of California.  All games must be free to enter.
  • There is no guarantee that you will have access to electrical power. Be sure to bring your own extension cords and splitters.  Generators are not permitted.  All extension cords must be secured and out of the way of traffic.
  • If you need Internet access at your table, you’ll have to arrange this with the hotel. Although our host hotel offers wireless access in guest rooms, this service is usually restricted or blocked in the lobby and function-space areas.

  • Fan Tables are typically 6 feet in length and will have two chairs per table. Extra chairs are sometimes obtainable from the hotel. Tablecloths are typically provided.  However, you might want to bring your own as a way to make your Fan Table stand out.

  • You may utilize the space behind your table in whatever way you see fit, so long as no fire or safety hazards are created. Anything that extends into a walkway is considered a safety hazard.  You must use blue wallpaper safe painter’s tape to adhere any signage.

  • Nothing may be attached, in any way, to the ceiling. Any publicly displayed items must be suitable for all audiences; in other words, it must be child friendly.

  • Table placement will be at the sole discretion of The Hellmouth, the Fan Table director or their assistant. We will work with you as much as possible, but we can make no promises.

Any deviation from or variation to these rules may result in the revocation of your Fan Table.
